How to Use Mailchimp for Your Email Marketing [Complete Guide]

Not all consumers follow brands on social media. They also don’t necessarily keep checking the website’s brand. Then, how does a brand stay connected to its customers? The answer is with email marketing.

This article will review marketing strategies by using Mailchimp. In fact, we’ve covered various email marketing platforms in How to Choose an Email Blast Platform for Email Marketing.

But now it’s our turn to focus on the features of Mailchimp and how to use the platform for our marketing campaign.

This article is a bit long. You may have thought of looking for another, shorter article. However, this article has managed to wrap up everything you need to know about Mailchimp. In fact, you don’t even need to read another article to understand how Mailchimp works. So, try to read this article to the end.

Why Use Mailchimp?

Mailchimp is a web-based email marketing platform. You can use this platform to design and send emails to website subscribers. With its web-based nature, you can easily access Mailchimp. No need to download or install additional software.

It doesn’t stop there. Mailchimp offers so many interesting features. These features will make it easier for you to execute marketing strategies. We’ll cover Mailchimp’s flagship features below:

  • Wide selection of campaigns. Mailchimp offers many different campaign models for you. Not only email, but also landing pages, postcards, signup forms, Google remarketing ads, even Facebook ads.
  • Integrated with various apps and tools. With many apps and tools, you can add various functions to the campaigns sent. There is a booking or message button, product recommendations according to transactions made by buyers, sending subscription bills, and many others.
  • Send automatic email. Mailchimp makes it easy for you to send emails automatically. You don’t need to manually send emails when new customers create an account, remind you of unfinished purchase transactions, birthday wishes, product recommendations, and send purchase notifications.
  • Email marketing optimization. You can divide your subscribers based on specific interests and send them emails that match their interests. You can also see how the campaigns created are performing and do testing campaigns to see which ones are the most effective.

With these powerful features, it is not surprising that Mailchimp is the best-selling email marketing platform that has been used by millions of users in more than 200 countries around the world.

How to Use Mailchimp

Now that you know the excellent features, it’s time to move on to the Mailchimp tutorial. In this section of the article, you will find information on how to create a Mailchimp account, create an email recipient list, customize signup forms, create campaigns, and view campaign reports.

1. Create a Mailchimp Account

To use Mailchimp, you just need to create an account. You can directly access and press the Sign Up Free button. After that you will be taken to a new page.

On that page, you need to fill in your email, username, and password. Note that Mailchimp asks for a strong password. In the password itself you must enter elements of capital letters, lowercase letters, numbers, unique characters, and a minimum of 8 characters long.

After that Mailchimp will ask for your domicile address. This is done to ensure that the created Mailchimp account is not used for spamming purposes. The next step, you are asked to connect your Mailchimp account with Facebook and Twitter. This step is actually optional, you can skip it, it’s just that this step helps marketing efforts reach a lot of people.

Then, Mailchimp will ask for permission to personalize the service. You will be asked various questions such as brand name, website address, and other features that your business offers. That way Mailchimp can offer the right apps and tools according to your online business.

Well, now your Mailchimp account is ready to go!

Before we discuss how to use Mailchimp step by step, you need to be familiar with the main menu on the dashboard. The following is a brief explanation of the menus in question:

How to use Mailchimp - Mailchimp menu

  • Campaigns is a place to design email marketing content.
  • Templates are campaign designs that are saved and can be reused in the next campaign.
  • Audience is the part to manage the email list that receives email.
  • Reports is a place to monitor all forms of promotions that are carried out. Here you can see what percentage of your subscriber list opens the email.
  • Content is a section for storing content in the form of images, documents, products, GIFs, Instagram, to brand logos.

It’s pretty familiar now, right? If so, we move on to the next step.

2. Create a Recipient Email List

Mailchimp has several options for creating a list of names or lists of email recipients. We will describe the three most commonly used methods.

First , through manual input. This is the easiest and most complicated way to do it. Easy because you just enter the data into the column provided. But it’s also complicated because everything needs to be done one by one.

For the first method, you can click the Audience menu on the Dashboard. After that click the Manage Audience dropdown menu and select Add a subscriber.

How to use Mailchimp - add subscribers to your email list manually

After that you will be taken to a new page that looks like a form. On that page, you can fill in your email address, subscriber name , address, phone number, and tags. At the bottom of the form, there is a checklist about the willingness of subscribers to receive emails and requests for data updates to avoid double list names.

Second, input a lot of data at once via CSV. This method is much more practical than the first method. You only need a Microsoft Excel document saved in CSV format.

How to use Mailchimp - add subscribers to email list with CSV file

You just fill in the data in the document format as above. To write the second line of the address (sort of like hitting enter), you need to type in a double space. As for mobile number data, it needs to be written in an international format. The mobile number needs to be preceded by the international code (+62 for Indonesia) then followed by the mobile number without 0 (zero).

When the document is complete, you can upload it via the Audience menu > Manage Audience > Import Contacts. Mark the checklist “CSV or tab-delimited text file.” Then, a screen like the one below will appear.

How to use Mailchimp - upload CSV files to Mailchimp

When the upload is successful, you can add a description of the tags and other subscription statuses . Just like the previous method, Mailchimp will also ask for approval to update the data so that the data is not duplicated.

Third, import data through supporting services. Actually there are many services that can connect with Mailchimp. But the easiest way is to connect it with Google Contacts.

For the third method, you need to select the Audience menu > Manage Audience > Import Contacts. On the new page, check the “Integrated service” option and the “Google Contacts” option.

How to use Mailchimp - import contacts to Mailchimp

Then you need to enter your Gmail email and allow Mailchimp to access the email. Automatically contact data will be imported. This platform will also confirm data such as data that is out of sync.

As usual, there is an option to add tags before the data import process takes place. Within seconds, up to minutes, all email addresses stored in email will be displayed.

However, you need to be careful when importing contacts this way. If the imported contacts exceed 2000, then there is an additional fee that needs to be paid.

3. Create Signup Forms

Installing signup forms is a more practical solution to collect email addresses. This form can be posted on the website, then interested web visitors can fill in their personal data to get regular emails.

To create this form, click the Audience menu > Manage Audience > Signup forms.

Then a new page will appear. This page displays several forms design such as form builder, embedded forms, subscriber pop-up, and form integrations. For this tutorial, we will choose the form builder option .

This form builder option will take you to a new page. This page is a place to design the form as you wish. There are three tabs to adjust the appearance of forms.

The Build it tab is used to add various elements in the form. There are 12 elements to choose from. Some of them are text, numbers, checklists, cell phone numbers, and websites. Just click an element to add it to the form. Click an element on the form and view Field settings to make additional settings to the element. Drag and drop elements to change the arrangement of elements.

The Design it tab is used to set the appearance of the forms. You can change the form background, header, form color, font, and so on here.

In the Translate it tab , you can translate forms into the language you want. Indonesian is also included in one of the options. When this option is selected, the form elements automatically change to Indonesian. If the result of this translation is considered not suitable, you can edit it in the column provided

After the signup form is ready, you just have to share it to the desired channel. Mailchimp itself offers four options for sharing forms, namely via Facebook, Twitter, QR Code, and URL. In order to share the form via Facebook and Twitter, you will first need to connect the two accounts to Mailchimp.

The signup form URL and other options are located just above the Build it, Design it, and Translate it tabs.

4. Create a Campaign

Now it’s time to discuss the main feature of Mailchimp, namely campaigns. Through this feature, you can create various content for marketing purposes. As previously mentioned, you can create not only email marketing but also landing pages, postcards, signup forms, Google remarketing ads, even Facebook ads.

However, for the purposes of this tutorial, we will focus on creating email marketing. To get started, click the Campaigns menu on the Dashboard. Then, hit the Create Campaign button on the right, below your Mailchimp account name and profile photo.

Immediately a pop-up will appear as below.

Next, you will be asked to choose one of the available campaign types. To create an email marketing, select the Email option .

Then the next will appear about the email marketing options that are run. In total, there are four options in four tabs. There are regular, automated, plain text, and A/B tests options. For example, we will use the Regular format . This format is generally used to send monthly newsletters to subscribers .

When selecting the Regular tab , you will be asked to name the campaign. Then continue by clicking the Begin button Then a page like the one below will appear.

You can also fill in the available fields according to the information requested. However, you can also skip this step and get started with your email design right away. After the email design, you can add a description before sending it. For that, just click Design email.

After that, you are asked to choose an available template. Mailchimp provides five template design options to choose from. For clarity, we will briefly describe the five:

  • Layout is a template in the form of an arrangement of content only. Here, you’ll find several layout options based on the number of columns and formatting as needed. Formats for displaying products, making announcements, or displaying information are available here.
  • Themes is a template with a more detailed version. In this category, the template is equipped with illustrations and text. You just need to change the content and adjust the layout of the design. In fact, there are already several ready-made templates for e-commerce, events, newsletters, birthday wishes, and more.
  • Saved templates displays templates that you have saved for reuse.
  • Campaigns features previously created content designs.
  • Code your own is the option to upload designs created using code. Usually, you need an application like Dreamweaver to be able to design this.

You can choose any template. But for your convenience, we recommend using templates in the Themes tabIf you have selected a template, we can proceed to the next step.

In the next step, you will see a page divided into two columns. As you can see, the left column is a view of the content being worked on. Meanwhile, on the right is the option to set the display content.

The right column contains three setting options, namely Content, Design, and Comment. At first glance these three tabs are similar to the signup form settings discussed earlier.

The Content tab contains a selection of elements for content. Some of these elements include text, text in boxes, borders, images, buttons, footers, to videos. To add elements to your design, you can simply press and drag the desired element into the left column. The same method is used to set the layout.

On the Design tab , you can set the appearance of the content in more detail. This section contains a dropdown menu with a list of content elements. If you click on an element, you can adjust the spacing between each element, color, font, heading, and so on.

The rest, the Comments tab , is where you can get suggestions for your designs. You can add comments manually. On the other hand, you can send a test email to collaborators. Comments from collaborators are what will then be contained in this tab.

If you have finished designing, there are three options that can be done. First, you can Save and Exit to save and finish the email design process. Second, Send a test email to send emails to collaborators. Third, send an email to the audience.

In order to send the email, you need to click the Save & Close button at the bottom right of the page. You will return to the preview section at the beginning of the campaign creation. Then, you need to fill in all the required fields so that the Send button is active.

When you press the Send button , Mailchimp will bring up a confirmation pop-up.

5. Check Mailchimp Campaign Reports

Your task is not finished. After spending time designing email marketing, you’ll want to know how the email will perform. For that, try clicking Reports in the Dashboard menu.

You will see a summary report of various content that has been created. Content in the form of Campaign, Automation, and Landing Pages is available to all users. Meanwhile, statistics in the form of comparison or Comparative, only exist for Pro users.

In this overview, you can see a graph of the performance of the content. In the same graph, you can compare what percentage of your audience opened the email ( open rate ) to those who clicked on the content in it ( click rate ).
